Job overview:

The role is varied and hands-on; you’ll be working with our Account Director to take projects through from initial briefing to final delivery on projects across disciplines, from brand to moving image and digital. Having a friendly and professional demeanour is important as your role includes a lot of client engagement.
You are:
- Experienced.
You’ll be working across multiple projects for multiple clients, which are all at different stages, from briefing to delivery. Your experience will enable you to feel comfortable at each stage of a project, knowing what to look and ask for from clients and the design team. - Fastidious.
You’ll be well-versed in proofing design layouts and amends, as well as checking for design and copy consistencies. It is important for you to be an honest, calm, exacting person with a serious attention to detail. Being prepared for the next meeting or briefing is critical. You will need to be Mac literate and feel comfortable with project management and accounting software. - Organised.
The role involves coordinating design reviews internally prior to work being sent out, as well as booking internal reviews and brainstorming sessions. Raising invoices and purchase orders, as well as liaising on outstanding invoices. You’ll feel well-equipped to source quotes and get suppliers on board for suitable jobs, as well as predict busy periods so we can line up freelancers. - Confident.
Feeling comfortable in a fast-paced environment is imperative, as is the ability to be spontaneous and reprioritise work depending on the day to day activity in the studio. - Informed.
You will have vast experience in the creative design process and a strong knowledge of production techniques, suppliers and materials. - Communicative.
Dialogue is core to your role. You will be talking frequently to clients via email and calls, as well as the design team. You will need to be confident in what you’re talking about, articulating clearly and in a timely fashion. You will also need to understand how to handle tricky conversations and how to flex tone and style to different clients based on their expectations.
We currently run on Microsoft 365, Google Docs, Streamtime, and accounting in Xero. Knowledge of these would be beneficial, but not integral.
Day-to-day tasks:
- Being to the go-to person within the studio for information on project statuses
- Scheduling – writing and upkeeping timelines for every project
- Budgeting – forming quotes, purchase orders, and invoices, and maintaining financial records
- Data management – ensuring project files are archived securely and in a timely manner
- Quality control – meticulous content checking of all client work
- Client communications – being the first point of contact for clients with queries relating to project admin: timelines, quotes, etc.
- Project administration – managing project progress, including new asks/scope creep, and sending weekly project updates
- Record management – attending meetings and writing clear summary notes and actions for clients and designers
- Studio management – taking calls, ordering supplies, checking post
